Some of what we set up for law firms
Intake and consults
Web and phone inquiries are checked against your intake questions and summarized, and a consult is offered once an attorney clears conflicts.
Hearing dates
Hearing dates from court notices are drafted onto the matter for your team to confirm.
Clean time and billing
Time entries are cleaned up from the work your team actually did, and invoices are drafted for an attorney to review.
Client updates
Client status updates are drafted from your matter notes, and an attorney approves each one before it goes out.
Financial disclosures
Financial disclosure documents are requested from the client, checked against your checklist and filed to the matter.
Conflict list
Opposing parties and related names from each inquiry are added to the conflict list for an attorney to clear.
Family law matters move on documents, dates and difficult conversations. A first call about a divorce or a custody schedule often comes from someone under real stress, the opposing party has to be checked before anyone at the firm says much, and the financial disclosures a case needs arrive in pieces over several weeks. Sastre builds AI workflows inside practice management platforms like Clio and MyCase that keep that paperwork moving while your attorneys make every legal call.
Job postings for family law paralegals describe the manual side plainly. Paralegals are asked to monitor court dockets and then update the firm’s case tracking system by hand, and to manage deadlines, hearing preparation and document organization inside the practice management software. Each of those tasks is a handoff between a court notice, an inbox and a matter record.
Here is what we would build, beginning with whichever handoff costs your paralegals the most:
Each new inquiry is summarized for an attorney, and the opposing party and other people named in the call are added to the conflict list for an attorney to clear.
Financial disclosure requests go to the client as a checklist, and each upload is checked against it, named and filed to the matter, with a reminder for anything still missing.
Hearing dates and deadlines from court notices are drafted onto the matter for your team to confirm.
When a client’s retainer balance falls below the threshold your firm sets, a replenishment request is drafted for your billing staff to approve.
Before a client hears anything about their case, an attorney approves the update, which is drafted from the latest matter notes.
Sensitive matters get routing rules of their own. Any call or message that mentions safety, a protective order or an emergency custody issue goes straight to the attorney or staff member your firm names, and AI does not answer it.
The connection depends on your platform. Clio allows an outside developer to build a private app for one firm on paid plans other than EasyStart, and MyCase opens its API on the Advanced tier when the firm asks for it in writing. On other plans we work from reports, exports and browser steps your firm approves.
Every action is recorded in an action log your firm owns, and we also document each tool that touches client information, so your firm can decide under ABA Formal Opinion 512 when a client’s informed consent is needed.
For a B2B company, our call debriefs turn discovery call notes into a structured review backed by the caller’s own words and save it to the deal in the CRM. In a family law firm, the same step turns a first consultation into an intake record an attorney can review before the next conversation.
Some of the software we connect for law firms
All platformsQuestions law firms ask us
How do you handle calls about safety or emergency custody?
Those calls skip every automated step and go straight to the attorney or staff member your firm names. AI can summarize the message for that person, and only a person responds to the client.
Can AI help collect financial disclosures?
Yes, the client gets a checklist for the documents your firm requests, and each upload is matched to its item, named and filed. Your team reviews whether the disclosure is complete before anything is served or filed with the court.
Do clients have to agree before AI works with their files?
Whether informed consent is needed depends on the tool, your engagement terms and your state’s rules, and ABA Formal Opinion 512 asks the firm to make that call before confidential information goes into a tool that can learn from it. We give you a written account of every tool and data flow so your attorneys can decide.
How is our clients’ information protected?
Each workflow reaches only the records its steps require, and your firm can remove that access at any time. Client data stays out of model training under our providers’ business terms, every action is logged, and we delete the client data we hold 30 days after an engagement ends.
What does it cost to begin working with you?
The first conversation is a free working session of about an hour on one workflow, such as disclosures or intake. Everything after it is quoted for your firm, and the workflow map ends in a fixed quote with its fee credited to the build.
What happens if a draft is wrong?
Your team edits or rejects it from the approval email, and every action stays in the action log.
Will this replace anyone on our team?
The workflows take over the copying, chasing and retyping, and your team keeps every decision and every customer relationship.
