Some of what we set up for law firms
Intake and consults
Web and phone inquiries are checked against your intake questions and summarized, and a consult is offered once an attorney clears conflicts.
Intake questionnaires
Intake questionnaires are sent, checked for missing answers and summarized for the attorney before the design meeting.
Trust funding
After signing, trust funding steps are tracked with reminders until each asset is retitled.
Client updates
Client status updates are drafted from your matter notes, and an attorney approves each one before it goes out.
Signing meetings
Signing meetings are scheduled with witnesses and a notary on your calendar.
Answers for your staff
Your staff’s procedure questions are answered from your own playbooks.
Estate planning firms lose the most time before and after the signing. Before it, questionnaires come back half finished and asset lists need chasing, and after it, trusts wait to be funded because deeds, accounts and beneficiary designations still have to change. Sastre builds AI workflows inside platforms like Clio, Smokeball and Lawmatics that keep both ends of the engagement moving, while your attorneys draft and approve every plan.
This is what we would build, starting with the stage where your matters stall:
Intake questionnaires go out after the first call, missing answers are flagged, and the attorney gets a summary of the family, the assets and the client’s goals before the design meeting.
Signing meetings are scheduled on the firm’s calendar with the witnesses and notary your state requires, and each client gets a list of what to bring.
After signing, a funding checklist tracks each asset that has to be retitled or updated, and the client gets reminders until every item is confirmed.
Consults that never moved to a design meeting are sorted into a list worth a second look, each with its last message for context.
Existing clients get a plan review reminder drafted on the cycle your firm chooses, for an attorney to approve.
Funding follow up depends on the client acting, which is why it drifts. The checklist keeps each deed, account and policy visible to your staff, the reminder cadence is yours to set, and every confirmation the client sends is filed to the matter with the date it arrived.
The documents themselves stay with your attorneys. AI prepares the intake summary, the scheduling and the follow up around the plan, and the plan’s terms, the drafting and the advice belong to the lawyer who signs off on them.
Our connection follows what each system allows. Smokeball gives API access when a firm requests it through its account manager, and Clio supports a private app built for a single firm on paid plans other than EasyStart. Where a system offers no open connection, exports and approved browser steps fill the gap.
An estate plan brings a family’s finances, health care wishes and beneficiaries together in one file. Each workflow reaches only the records it needs, client data stays out of model training under our providers’ business terms, and every action is written to an action log your firm owns. The firm decides when a client should give informed consent under ABA Formal Opinion 512, and our documentation of each tool gives it the facts to decide.
For a technology company, our pipeline assistant sorts old and lost deals into lists worth a second look and reviews quiet deals each morning, while the sales lead makes every call. Consults that never reached a design meeting can be surfaced the same way for your intake team.
Some of the software we connect for law firms
All platformsQuestions law firms ask us
Does AI draft our estate plans?
No, your attorneys draft and approve every will, trust and directive. AI prepares the intake summary, the scheduling and the follow up work around the plan.
Can AI keep track of trust funding after the signing?
Yes, each asset that has to be retitled or updated goes on a checklist for the matter, and the client gets reminders at the interval you choose. Your staff see what is confirmed and what is still open, and every confirmation is filed with its date.
Do clients have to consent before AI sees their information?
It turns on three things: the tool, your engagement terms and your state’s ethics rules. ABA Formal Opinion 512 asks for informed consent before confidential information goes into a tool that can learn from it, so we document every tool and data flow and your firm decides.
How do you protect our clients’ information?
Each workflow reaches only the records its steps need, and your firm can revoke that access at any time. Model providers may not train on your clients’ data under the business terms we use, the log records every action, and the client data we hold is deleted 30 days after the engagement ends.
How much does a first project cost?
The first step is a free working session of about an hour on one workflow, such as intake questionnaires or trust funding. The workflow map after it ends in a fixed quote, and the map’s fee is credited to the build.
What happens if a draft is wrong?
Your team edits or rejects it from the approval email, and every action stays in the action log.
Will this replace anyone on our team?
The workflows take over the copying, chasing and retyping, and your team keeps every decision and every customer relationship.
