Xero AI integration

Sastre connects Xero to the rest of your tools through its official API and uses AI to draft bills and suggest payment matches, and your bookkeeper approves and reconciles in Xero.

Some of what we build on Xero

Bills from email

We read bills from email and enter them as drafts for your team to approve.

Invoices from work

We draft invoices from finished jobs or time entries for your team to send.

Payment matching

We match payments to invoices and flag any that differ for your bookkeeper.

Month end reports

We draft month end reports from your ledger for your accountant to review.

Expense coding

We read receipts and suggest an account for each one, and your bookkeeper approves the coding.

Vendor questions

We draft answers to vendor payment questions from your records, and your team sends them.

Xero reported 424,000 US customers as of March 31, 2026, counting Xero and Melio together. When Xero runs beside a CRM, a practice management system or a property platform, the handoffs between them are where the hours go: bills forwarded from an inbox, invoices rebuilt from another system, payment follow up done from a spreadsheet and a monthly report assembled by hand. Sastre builds AI workflows that move that information into and out of Xero, and your bookkeeper approves anything that changes the books.

Xero offers an official API that a business authorizes from its own Xero organization, and for a build serving one business, Xero also offers Custom Connections, built on behalf of a single client with an authorizing user the client selects. We choose between the two during the workflow map and record the choice in your access list, along with the Xero user who authorized it.

Bank reconciliation stays in Xero with your bookkeeper. Our workflows prepare the bills, invoices and suggested matches that make reconciliation quicker, and your bookkeeper reviews and completes it in Xero.

A Xero build can start with any of these:

  • Bills that arrive by email are read, coded by the rules your bookkeeper sets and drafted in Xero for approval.

  • Customers who owe on an invoice past its due date hear from you, in your own tone, until Xero records their payment.

  • Invoices raised in your CRM or practice software are checked against Xero so totals and contacts agree.

  • Payments received through other processors are matched to open invoices and proposed for your bookkeeper to apply.

  • A monthly report for owners or partners is drafted from Xero figures, and a person approves it before it is sent by email.

Each workflow asks only for the scopes it needs, and the connection can be removed from Xero by your team at any time. Your company owns the record of every draft, approval and posting in Xero, and the monthly report walks through it.

For a financial services firm, we built a connector that lets an AI assistant send a finished monthly report by email, logging every run and delivery in a dashboard of reports and recipients. A monthly report for owners or partners drawn from Xero follows the same pattern.

How we connect to Xero

Each account allows different access, so we confirm yours in the workflow map and design around it.

Official API

On plans that include API access, approved updates post straight to Xero.

Reports and exports

Where the API is closed or limited, scheduled reports and exports supply the data, and we queue each change for your team to enter.

Approved automation

Where neither works, we use browser automation that your team approves step by step.

Questions about Xero and AI

Can AI reconcile our Xero bank accounts?

Reconciliation stays in Xero with your bookkeeper, who reviews and completes it there. Our workflows prepare the drafts and suggested matches beforehand, so there is less to check by hand.

What is a Xero Custom Connection, and do we need one?

A Custom Connection is Xero’s way to connect one integration to a single organization, set up on behalf of that client with an authorizing user the client chooses. Whether it or a standard app fits your build is decided in the workflow map, and any subscription is agreed with you first.

Do we have to change how our bookkeeper works?

No, your bookkeeper keeps the same Xero routine and approves drafts from email. What changes is that bills, reminders and reports arrive ready to review.

How is our Xero data protected?

Each workflow asks only for the Xero scopes it needs, and your team can remove the connection at any time. Financial data stays out of model training under the business terms we use with our providers, each action is logged, and the client data we hold is deleted 30 days after an engagement ends.

What does a Xero project cost?

We start with a free working session of about an hour on one Xero workflow, such as bill entry or payment follow up. If the workflow is worth building, a workflow map ends in a fixed quote, and the map’s fee comes off the build.

Let’s tailor Xero to the way your team works.
