Some of what we build on Buildium
Call notes on the right record
We summarize every call on the matching tenant, owner or unit record.
Work orders from calls, email and texts
We turn calls, emails and texts into draft work orders with the details your vendors need.
Owner updates
We draft monthly owner summaries for a manager to review and send.
Follow up tracking
When someone on your team promises a callback or a visit, we turn it into a dated task.
Team dashboards
A dashboard shows open requests by manager and property, refreshed from your records as often as your plan allows.
Answers for your staff
New staff get answers from your own policies and procedures.
Buildium opens its API on one plan, Premium. On Premium, an administrator creates an API key from Buildium’s developer tools and chooses which data that key can reach, so a workflow can read only the records it needs and write only the changes your team has approved. Buildium can also send webhooks when something changes in your account, which lets a workflow start drafting from the event itself, with no wait for a nightly report.
On Buildium’s other plans the work still gets done, through a different route. We build from the reports and exports your team can schedule in Buildium, queue each drafted change for your staff to enter, and add browser steps only for actions your team approves, each one written to the action log.
The seams around Buildium tend to sit in the inbox and on the phone. Residents send requests through the portal, by email and by text, vendors reply with quotes and photos in long threads, and owners write in asking where a repair stands. Each of those messages has to be read, matched to a property or work order and answered, which is the part we hand to AI with your team approving the result.
For a Buildium company, the first candidates come from that inbox:
Resident requests from every channel are matched to the right property and unit and drafted into work orders, with emergencies sent to the manager on call for approval.
Vendor quotes that arrive by email are summarized side by side so a manager can approve one in a single reply.
Lease renewals are tracked against the notice dates your team sets, and offers are drafted on your terms.
Late rent reminders follow your grace period and stop as soon as a payment is recorded in Buildium.
Owners get a monthly note drafted from their statement and open work orders, approved by a manager before it is sent.
Leasing decisions such as screening, approvals and rent pricing stay with your staff, and our workflows keep to the communication and record keeping around them.
If you are not on Premium today, the workflow map shows what each route would cover on your current plan, so the choice to upgrade stays yours.
For a services company, we built a renewals engine with renewal and overdue reminders tied to each customer’s dates that stop as soon as a payment lands, which returned 25 hours a week of manual follow up. On Buildium, the same logic covers lease renewals and late rent.
Some tools we connect to Buildium
Questions about Buildium and AI
Do we need Buildium Premium?
Premium is the plan that includes Buildium’s Open API, so it gives the most direct connection. On other plans we work from scheduled reports and exports and queue drafts for your staff, and the workflow map compares both routes for your account.
What can the API key see?
A key sees only what your administrator allows when creating it, since Buildium lets you choose which data each key can reach. We ask for the narrowest key each workflow needs and list it in your access list.
Can a workflow react when a new request arrives?
Yes, on Premium Buildium can notify a workflow through a webhook when something changes in your account. Drafting then starts from that event, and your team approves the result as usual.
How is our Buildium data protected?
Each workflow gets its own key with only the access it needs, and your team can revoke it at any time. Your data stays out of model training under our providers’ business terms, each action appears in the log, and the client data we hold is deleted 30 days after the engagement ends.
What does a Buildium project cost?
We start with a free working session of about an hour on one Buildium workflow, such as resident requests or renewals. From there, a workflow map produces a fixed quote, and the fee for the map counts toward the build.
