AppFolio AI integration for property managers

We connect your phones, inbox and accounting to AppFolio so call notes, work orders and owner reports are drafted for the right records, and your team approves each one before it goes into AppFolio.

Some of what we build on AppFolio

Call notes on the right record

We summarize every call on the matching tenant, owner or unit record.

Work orders from calls, email and texts

We turn calls, emails and texts into draft work orders with the details your vendors need.

Follow up tracking

When someone on your team promises a callback or a visit, we turn it into a dated task.

Owner updates

We draft monthly owner summaries for a manager to review and send.

Team dashboards

A dashboard shows open requests by manager and property, refreshed from AppFolio as often as your plan allows.

Answers for your staff

New staff get answers from your own policies and procedures.

AppFolio is the system of record for a large share of US property managers, and the company reported 23,121 property management customers as of September 30, 2026. Much of the work around it still happens in places AppFolio does not see: the phone call that should become a work order, the vendor text with a completion photo and the owner email asking about a repair. Sastre builds AI workflows that connect those places to AppFolio, and your team approves each change before it reaches a tenant, an owner or your records.

What the API allows depends on your AppFolio plan. The pricing page lists API access on Plus as read only and on Max as read and write, and it lists none on Core. On Max, approved call notes and work orders post straight into AppFolio. On Plus, we read units, tenants and work orders to build each draft, and the finished change waits in a queue for your staff to enter. On Core, we work from scheduled reports and use browser steps only for actions your team has approved, each one recorded in the action log.

AppFolio also has AI of its own. Its built in assistant works inside AppFolio, and its connector for Claude, out of beta since October 2026, gives Core customers read access and Plus and Max customers read and write access. If your team uses that connector, we can design the workflow around it, deciding who approves which change, where alerts go and how each action is recorded. Our workflows also reach the systems outside AppFolio, like your phone system, your inbox and the spreadsheets your managers still keep.

Examples of what we build on AppFolio include tenant call summaries matched to the right unit, after hours maintenance requests routed to your on call manager, owner updates drafted from the owner statement and open work orders, and renewal outreach written on the terms your team sets. Delinquency reminders can follow your grace period and stop the day a payment posts.

Credentials for the API come from an administrator in your AppFolio account, and we ask only for the access each workflow needs. Applicant screening and leasing decisions stay with your staff, and nothing we build in AppFolio makes them.

For a financial services firm, we built a connector that lets an AI assistant deliver a finished monthly report by email, with a log of every run and delivery and a dashboard of reports and recipients. Owner updates drawn from AppFolio follow the same pattern.

Built around your AppFolio plan

Your plan sets the API access, so we confirm it first and design around it.

Read and write API

On the Max plan, approved notes and work orders post straight to AppFolio.

Read API and reports

On Plus, or from scheduled reports on Core, we queue each change for your team to enter in AppFolio.

Approved automation

Where neither works, we use browser automation that your team approves step by step.

Questions about AppFolio and AI

Does AppFolio have an API?

AppFolio lists API access on its Plus plan, which is read only, and on its Max plan, which adds write access, while Core lists none. We confirm your plan during the workflow map and design around what it allows.

How does this work alongside AppFolio’s own AI?

AppFolio’s assistant and its connector for Claude work with AppFolio data, and we connect the phones, inbox and other tools around AppFolio, then add approvals by email and an action log. Your team does not need to use any AI today for this to work.

Can you still help if we are on the Core plan?

Yes, Core firms work from scheduled reports, with each drafted note or work order queued for your staff to enter. Browser steps are added only where your team approves them, and every one is logged.

Will AI screen applicants or set rents in AppFolio?

No, screening, leasing approvals and rent pricing stay with your staff. Our workflows draft the messages and records around those decisions.

How is our AppFolio data protected?

Your administrator issues the credentials, each workflow gets only the access it needs, and we keep credentials in encrypted storage. Data stays out of model training under our providers’ business terms, and your team can revoke access whenever it chooses.

What does an AppFolio project cost?

It starts with a free working session of about an hour on one AppFolio workflow. If it is worth building, the workflow map that follows ends in a fixed quote, and its fee is credited to the build.
